ANNEX 2 - CONDITIONS CONSISTENT WITH THE OPERATING SCHEDULE
General
1. Woodbridge Town Council (WTC), takes its responsibilities for health and safety extremely seriously, and hence all activities of the Council shall fall under its Health and Safety policy.
2. WTC and it’s partners will work to ensure that the event is safe for everyone attending.
3. As well as a thorough Risk Assessment WTC will produce an event plan and sound management plan for the day to ensure it is safe and enjoyable for those attending.
4. This licence is only for the Queens Jubilee event to be held on the 3 June 2022.
Prevention of crime and disorder
1. WTC have contracted ‘Hero Site Solutions’ to provide security and marshalling for this event.
2. There will be constant security patrols during the event, whilst experienced event marshalling staff will watch over the attendees. All staff shall be DBS checked.
3. Suffolk Constabulary and the 432 Parachute Engineer Regiment will also be attending as part of the event. WTC will work with the local constabulary to ensure they are aware of the event and can send Officers/ PCSO’s should the need arise.
Public safety
1. The security and marshalling staff detailed above will also be heavily involved in ensuring public safety on the day.
2. Woodbridge Town Council will undertake a thorough risk assessment prior to the event and will work to minimise any risks identified during the assessment. Town Council employees will be on site for the duration of the event. All Town Council employees are first aid trained and have fire marshal certification.
3. First aid provision has been booked and will be located next to the vehicular access should a quick exit by required.
4. All entertainment provided by WTC will be required to provide public liability insurance.
5. All food outlets provided by WTC will be required to provide public liability insurance and food hygiene certification.
6. The performance areas will be fenced to ensure the safety of performers and attendees.
Prevention of public nuisance
1. WTC plans for the event to be family friendly therefore the event is a daytime event with no provision of entertainment during darkness.
2. Security and marshalling staff will ensure the behaviour of those present conforms to the family friendly ethos of the day.
3. WTC will work with the local constabulary to ensure they are aware of the event and can send Officers/ PCSO’s should the need arise.
Protection of children from harm
1. All event security and marshalling staff shall be DBS checked. The WTC employee with overall responsibility for the day shall also be DBS checked.
2. There will be a lost child point located in a prominent position on the field.
3. All entertainment/rides for children shall be provided by qualified individuals or organisations.
4. Any food available to children will be clearly marked with its ingredients.
